PLEASE NOTE:
The Shenandoah Area Council Refund Policies vary by program and activity. Please scroll through this page carefully to be sure you have the right information for the program or activity in question.
We want to give you as much flexibility as possible while also making sure we can cover our pre-paid costs for events and camps. This policy helps us do that, protecting the council's financial commitments that are based on registration numbers.
This policy now supersedes all previous refund policies for our events and camps. The Shenandoah Area Council will consider and process refunds for activities and training fees under the following conditions:
Applies to Events, Activities, Weekend, Off-Season, and Other Council Programs
This General Refund Policy applies to all day and weekend camps, events, training, dinners, and activities hosted by the Shenandoah Area Council, unless otherwise stated in the specific activity guide for such event. This does NOT include Long-Term Summer Resident Camps and National High Adventure Base programs.
Refund requests will be considered on a case-by-case basis.
Pro-Rated Refund Schedule:
- 30 days or more - Full Refund, less $5 cancellation fee.
- 15-29 days - 75% Refund, less $5 cancellation fee.
- 8-14 days - 50% Refund, less $5 cancellation fee.
- 4-7 days - 25% Refund, less $5 cancellation fee.
- 72 hours or less - NO REFUND
NOTES:
- All refund requests are to be submitted using the online refund request form located at the bottom of this webpage.
- A $5 cancellation fee, per person, will be subtracted from ALL refunds to cover processing costs.
- Credit and Debit card bank convenience fees are not refundable.
- Fees may be applied to another individual attending the same event, camp, or activity if arranged before the event.
- Fees cannot be rolled to future events or activities.
- Requests made more than 7 days after an event will NOT be considered.
- Refunds requested due to medical reasons and other unforeseen circumstances will be reviewed on an individual basis and may require additional documentation.
- When the request is received in relation to the start of the event, camp, or activity there will be a determination as to the amount of the refund based on the pro-rated schedule above.
Applies to all Long-Term Summer Resident Camp Programs hosted by the Shenandoah Area Council unless otherwise stated.
This Refund Policy applies to all Long-Term Summer Resident Camps hosted by the Shenandoah Area Council, Inc. unless otherwise stated. This includes summer camps at Camp Rock Enon, Camp Sinoquipe, and our Cyberquipe Virtual Summer Camp. This does not apply to National High Adventure programs.
The Shenandoah Area Council strives to provide the absolute best program. We sign contracts with staff and vendors based upon confirmed reservations. Cancellations after May 1st undermine our ability to provide a quality Summer Camp program.
Refund requests will be considered on a case-by-case basis:
Pro-Rated Refund Schedule: -
- On or before April 15 @ 11:59pm - full refund of any funds paid will be issued (less any bank convenience fees and a processing fee)
- Beginning on April 16th - Partial refund up to 50% of the total fees will be issued (less bank convenience fees and a processing fee)
- After May 15 @ 11:59pm - NO REFUNDS will be issued, with the following few specific exemptions:
- 50% refund of funds paid may be issued in the event of the death of an immediate family member, sickness, injury, or summer school requirement (verification from physician or another official required).
NOTES:
- All refund requests are to be submitted using the online refund request form located at the bottom of this webpage
- Credit and Debit card bank convenience fees are not refundable.
- Fees may be applied to another individual attending the same event, camp or activity if arranged prior to the event.
- Fees cannot be rolled over to a future event or activity.
- Requests made more than 7 days after the end of the summer camp session will NOT be considered.
- Refunds requested due to medical reasons and other unforeseen circumstances will be reviewed on an individual basis and may require additional documentation.
- Refund checks are typically issued to the entity paying the original fees as indicated on the SAC Tentaroo account profile.
- Unit leadership is responsible for conveying the refund policy to the participants and their parents or legal guardians.
Events such as the National Jamboree/Summit Bechtel Reserve, Philmont, Sea Base, and Northern Tier may have a different refund policy that will be posted with the event registration materials for those events.
